Technology RFP

Goddard Public Schools is accepting RFP’s. Please submit a proposal by January 9th, 2023. Please email any questions you have to Jason Soupene and they will be posted with answers on this page. His contact info is located in the RFP. The due date for questions will be December 15th.

*******URGENT UPDATE – PLEASE READ******* – There was some confusion on the contract with the current vendor and THE DISTRICT WILL NOT OWN ANY EXISTING SWITCHES, ACCESS POINTS, OR PHONE HARDWARE. The district request that all proposals include new phone handsets. The district also prefers to have a suggested contingency plan in case new hardware does not arrive in time for a summer implementation. 

 

UPDATE #1 – The district is looking for alternative options for DDOS protection on its network. The vendor is not expected to include a DDOS solution in the proposal.

UPDATE #2 – The criteria item “The vendor’s past relationship with the district” in the rubric will be scored by giving each vendor 8 points by default. The District will then award or subtract points based on their history with the vendor. The maximum points awarded will be 15 points.

UPDATE #3 – We are NOT requesting that the new hardware be Cisco/Meraki, this is what we have currently. We are willing to look at all manufacturers.

UPDATE #4  – The vendor is allowed to bring in a trusted partner to assist with the initial network refresh as long as the ongoing management is done by the bidding vendor and the cost is included in the 60-month payment arrangement.

UPDATE #5 – The district does NOT require the vendor to utilize the district's existing phone handsets. The vendor may propose a solution with new handsets if they feel it will be a more cost-effective solution or a solution they could better support.

UPDATE #6 – If the bidding vendor is not a Telco then you are allowed to utilize a trusted partner to provide the outside phone numbers to the district. As long as the following requirements are met.

  • The ongoing day-to-day management of the phone system is done by the bidding vendor and not the trusted partner providing the outside phone lines
  • Any support issues with the Telco are handled strictly by the bidding vendor
  • The cost of the Telco services is included in the 60-month payment arrangement

UPDATE #7 - The district asks that the vendor includes a suggested solution in their proposal for high-density wireless coverage in the following locations

  • EMS Main Gym - Length 115 ft x Width 108 ft x Height 31. 5 ft, Capacity 1400
  • EMS Aux Gym - Length 105 ft x Width 85 ft x Height 31.5 ft, Max Capacity 900
  • GMS Main Gym - Length 115 ft x Width 108 ft x Height 31. 5 ft, Max Capacity 1100
  • GMS Aux Gym - Length 105 ft x Width 85 ft x Height 31.5 ft, Max Capacity 500
  • EHS Main Gym - Length 150 ft x  Width156 ft x Height 43.5 ft, Max Capacity 2000
  • EHS Aux Gym - Length 105 ft x Width 85 ft x Height 27 ft, Max Capacity 600
  • EHS Auditorium - Length 200 ft x Width 100 ft x Height 29 ft, Max Capacity 1000

UPDATE #8 – The district would prefer two hardware firewalls over the current pfSense software solution.

UPDATE #9 – This district will need a total of 750 APs plus the APs that are recommended by the vendor to cover the high-density areas listed above.

UPDATE #10 – The district will NOT utilize E-Rate for any payment of this solution.

UPDATE #11 – The criteria item “The vendor’s past relationship with the district” in the rubric will be scored by giving each vendor 8 points by default, NOT 9 points.

 

Question: The RFP doesn’t highlight the performance requirements or what the district is getting today. Can that be provided? What do you mean by performance requirements? 
Answer: We do list server specs and speed specs of the network.

Question: The RFP lists 3TB total storage among the host servers. Is that all the storage at the district? No additional storage arrays that would need to be managed/replaced? 
Answer: Yes, we only need 3TB. Most of the data will be stored in Google Drive

Question: We did not see data protection or backup addressed within this RFP. Will that also need to be managed or replaced? 
Answer: Good catch! We listed backup needs of configuration of network equipment on page 8 and backup of managed servers at the bottom of page 13 but we did not list backup of hosted servers. We will need backups with the same specs on bottom of page 13 for all hosted servers.

Question: Has everything in the RFP been outsourced in the past, or have you had internal resources to handle portions? 
Answer: Yes it was outsourced in the past but we also had internal resources to handle portions. See below.

Question: Will you have anyone other than yourself on staff from a technology standpoint?
Answer: Yes, we have 4 level one techs, 1 system administrator, 1 assistant director, and myself that assist with the help desk tickets and other miscellaneous tasks. We also take care of any task that needs a physical presence except the initial hardware refresh.

Question: Are you looking for support for students and student devices?
Answer: No

Question: Will this include workstation management too?
Answer: We will handle most workstation management except for some help desk tickets that come through.
